Occasions: birthdays and anniversaries
Laberty remembers a date and sends that label again every year, a week or two ahead, by email to the member or straight to the printer.
Occasions are part of Home and Business. An occasion is a household, a label style, a purpose such as "Birthday", and a date. Each year, a few days before that date, Laberty sends that label again, so there's time to get the card in the mail.
Setting one up
- The member sets these up by talking. After printing through Ask Laberty, the assistant offers to remember it, and they tap yes. They never see a form.
- An admin can add one on Admin → Occasions: pick the household and label, type the purpose, and choose the date. Only the month and day are kept, so it repeats every year.
The Occasions page lists each one with its date and when its label goes out, for example "Label goes out Sept 1".
How many days ahead
Labels go out 7 days before the occasion unless you change it. On Admin → Occasions, set Send labels [N] days before to anything from 0 to 60 and press Save. 0 sends the label on the day itself. The setting is for your whole account, and every occasion follows it.
- A birthday early in January goes out in late December. That's still counted as that birthday's label, so it isn't sent again in January.
- A February 29 birthday uses February 28 in years without a 29th.
- If a daily check is missed, a label up to 3 days late still goes out.
- If you raise the number, Laberty doesn't send a pile of labels at once. A label more than 3 days overdue under the new number waits for next year. The Occasions page shows "Too late to send" for it and when the next one goes out.
- A label is never sent for an occasion that has already passed.
How it's delivered
Every morning, Laberty looks for labels due to go out that day. "That day" follows your account's time zone, set on Admin → Users → Branding & family setup. Due labels go out one of two ways, or both:
- Emailed to the member as a PDF, ready to print from their iPad. The email says what it's for and when, such as "Ada Lovelace's birthday is Sept 20". The member account needs an email address on Admin → Users.
- On the print bridge. Under Occasion labels on the print agent on Admin → Printers & stock, choose Print them right away (nobody touches anything) or Hold them until someone presses Print. Held labels wait, marked with the roll they need, until someone presses Print on a Laberty Screen or on Admin → Print bridge. The admins get one email a day at most while labels are waiting. Either way needs a running print bridge. The job in the print list shows the occasion and its date.
If neither is set up, the Occasions page warns "These won't actually send yet", and the daily check skips them. Fix one of the two and they'll go out ahead of their next date.
Removing one
Press Remove on the occasion. The household and its labels stay.
